Who we are
Die Houtboer is a locally owned firewood supplier in the Western Cape. We deliver in Paarl, Wellington, Val de Vie and Pearl Valley, and in Klapmuts and Franschhoek for an additional fee. When this notice says “we” or “us”, it means Die Houtboer.
The owner of Die Houtboer is responsible for how your personal information is handled (under POPIA, that makes us the “responsible party”), and handles every privacy question and request personally.
The short version
- We only get what you send us yourself: through the contact form or in a WhatsApp chat.
- We use it to answer you, and to arrange and deliver your wood.
- This website uses no cookies and no advertising tracking, just Cloudflare’s privacy-friendly visitor stats.
- We never sell your details, and we don’t use them for advertising.
- You can ask what we hold about you, have it corrected or deleted, and complain to the Information Regulator.
What the contact form collects
When you send an enquiry through our contact form, we receive:
- your name
- your email address
- your contact number (it’s required, so we can get back to you)
- your area (Paarl, Wellington, Val de Vie, Pearl Valley, Klapmuts, Franschhoek or “Other”), and the name of your area if you choose “Other”
- your message, including anything you tell us about your fire
- that you agreed we may use these details to reply
The form also has a hidden field that catches spam robots, and it notes when the page was opened, because robots fill in forms much faster than people do. People never see either, and neither holds any information about you. To stop anyone flooding us with messages, our website also counts how many messages come from the same IP address within a minute. That count is used for nothing else, and your IP address isn’t in the email.
Why we use it
Only to reply to your enquiry and, if you order, to arrange your delivery. POPIA allows this because you asked us to get in touch (your consent), and because we need the details to do what you asked.
We don’t add you to a mailing list, and we don’t send you marketing unless you ask for it.
Who else handles it
The contact form: Cloudflare and Resend
The contact form sends your message to our own website, not to an outside form service. Our website runs on Cloudflare, and a small part of it checks your message and hands it to Resend, an email-sending service. Resend delivers it to our inbox as an email. That email holds the details listed above, plus the language you wrote in and the country your internet connection comes from (Cloudflare works out the country; your IP address isn’t in the email). Sending the form is how you ask us to reply, and this is how your message reaches us.
Resend processes your message only to deliver it to us. Cloudflare runs servers around the world and Resend keeps its records in the United States, so your message is also processed outside South Africa. Each explains how it handles data in its own privacy policy: cloudflare.com and resend.com. We share your details with them only so that your message gets to us.
Most orders happen on WhatsApp. When you chat to us there, WhatsApp (owned by Meta) carries the messages under its own terms of service and privacy policy, not this one. We see what you send us in the chat: your number, your WhatsApp name, your messages and the delivery details you give us. We use those only to help you and deliver your order.
When you tap a WhatsApp button on this site, WhatsApp opens with a message ready to send. That message only mentions what the page is about, such as a wood, a fire or a town. Nothing is sent until you press send yourself.
Cloudflare, which hosts this website
This website runs on Cloudflare. Like any host, Cloudflare may keep standard server logs (such as IP addresses and the pages requested) to keep the site running and secure. We don’t use those logs to identify or follow anyone.
We never sell, rent or trade your personal information, and we don’t share it with anyone else unless the law requires us to.
No cookies, just simple visitor stats
This website doesn’t set cookies, and it doesn’t use advertising pixels or any other advertising tracking. Our fonts and photos are served from our own site.
We do use Cloudflare Web Analytics to see how many people visit, which pages they read and how fast the pages load. It sets no cookies, doesn’t follow you across other websites, and doesn’t give us your name or IP address: we only see totals.
If this ever changes, we’ll update this notice first.
How long we keep it
We keep enquiries and chats only as long as we need them to help you, and to keep the basic records a business has to keep, such as invoices for tax. After that, we delete them.
You can ask us to delete your details sooner (see your rights below).
Keeping it safe
We take reasonable steps to protect your information: our email and WhatsApp accounts are secured, and only Die Houtboer uses your details, to help you.
If your information is ever compromised, we’ll tell you and the Information Regulator, as POPIA requires.
Your rights under POPIA
The Protection of Personal Information Act (POPIA) gives you the right to:
- Access: ask whether we hold personal information about you, and get a copy of it.
- Correction: ask us to correct information that’s wrong or out of date.
- Deletion: ask us to delete your information, unless the law says we must keep it.
- Objection: object to how we use your information, and to any direct marketing (we don’t do any).
- Withdraw consent: change your mind about us using your details. This doesn’t affect what we did before you told us.
- Complain: lodge a complaint with the Information Regulator if you’re unhappy with how we’ve handled your information.
To ask for any of these, contact us (below). We may ask you to confirm who you are before we share or change anything, so that nobody else can get hold of your details.
The Information Regulator
To complain, go to the Information Regulator (South Africa) at inforegulator.org.za, where complaints are lodged through its eService portal. For help, you can also email enquiries@inforegulator.org.za.
We’d appreciate the chance to put things right with you first, but you don’t have to come to us before you go to the Regulator.
